Your media library is where you store and manage all the visual assets for your presentations—images, videos, floor plans, documents, and more. A well-organized media library makes it easy to find and use the right content when building your presentations.

What is Media?

Media includes all the files you upload to Walk the Room for use in your presentations:
  • Images: Photos, renderings, floor plans, site maps
  • Videos: Property tours, construction updates, promotional videos
  • Documents: Brochures, specifications, contracts, fact sheets

Accessing Your Media Library

To access your media library:
  1. Navigate to your project
  2. Click on Assets in the project menu
  3. You’ll see your media library with all uploaded files
Each project has its own media library, keeping your assets organized by property.

Browsing and Finding Media

Finding the right media file quickly is essential when working on presentations. Walk the Room provides several ways to browse and search your media library.

Browsing Media

Your media library displays files in a grid or list view:
  • Grid view: See thumbnails of your media for quick visual browsing
  • List view: See detailed information including file names, sizes, and upload dates
  • Sort options: Sort by name, date uploaded, file type, or size
Use grid view for visual assets like images and videos. Use list view when you need to see file details or work with documents.
Use the search bar to quickly find specific files:
  1. Search by filename: Type part of the file name
  2. Search by tags: Filter by tags you’ve applied to your media
  3. Combine search and filters: Use search with filters for precise results

Filtering Media

Apply filters to narrow down your media library:
Show only specific types of files (images, videos, documents, etc.)
Select one or more tags to show only tagged media. Learn more about tagging media.
Find recently uploaded files or files from a specific time period.
Locate large files that might need optimization or small files for web use.

Quick Tips for Finding Media

Use Descriptive Names

Name files clearly when uploading (e.g., “building-a-exterior-north.jpg” instead of “IMG_1234.jpg”)

Tag as You Upload

Add tags immediately when uploading files to make them easier to find later

Organize into Folders

If your platform supports folders, organize media by building, floor, or content type

Regular Cleanup

Remove outdated or unused media periodically to keep your library manageable

Uploading Media

Adding media to your library is straightforward. You can upload single files or multiple files at once.

Upload Process

Navigate to your media library

Go to your project and click on Assets.

Click upload

Click the “Upload” button or drag files directly into the upload area.

Select files

Choose one or more files from your computer. You can select multiple files to upload them at once.

Add information (optional)

While uploading, you can add tags, descriptions, or other metadata to help organize your files.

Wait for upload

Files will upload and appear in your media library. Large files may take a few moments.

Supported File Types

Walk the Room supports common media formats: Images:
  • JPEG/JPG (photos, renderings)
  • PNG (images with transparency)
  • WebP (optimized web images)
  • SVG (vector graphics, logos)
Videos:
  • MP4 (most common video format)
  • WebM (optimized web video)
  • MOV (Apple QuickTime format)
Documents:
  • PDF (brochures, floor plans, documents)
  • DOC/DOCX (Word documents)
  • XLS/XLSX (Excel spreadsheets)
File size limits may apply. If you need to upload very large files (like high-resolution videos), contact your account manager about available options.

Upload Best Practices

Compress large images and videos before uploading to save storage space and improve loading times. Aim for web-optimized sizes when possible.
Rename files before uploading with clear, descriptive names that include relevant details (building, floor, room, view direction).
Upload related files together so you can apply the same tags and information to all of them at once.
Check that uploaded files display correctly and are the right resolution before using them in presentations.
Tag and categorize files right after uploading while the context is fresh in your mind.

Bulk Upload

For large projects with many files:
  1. Prepare files: Organize and name files on your computer first
  2. Select multiple files: Use Shift+Click or Ctrl+Click (Cmd+Click on Mac) to select multiple files
  3. Drag and drop: Drag all selected files into the upload area
  4. Apply tags: If available, apply common tags to all files at once
Consider using a consistent naming convention for your files before uploading. For example: [Building]-[Floor]-[Room]-[View]-[Number].jpg

Deleting Media

Remove media files you no longer need to keep your library organized and free up storage space.

Delete Process

Navigate to your media library

Go to your project’s Assets section.

Select media to delete

Click on the file(s) you want to remove. You can select multiple files for bulk deletion.

Click delete

Click the delete button (usually a trash icon) or right-click and select “Delete”.

Confirm deletion

Confirm that you want to permanently delete the selected files.
Deleting media is permanent and cannot be undone. Make sure files are not being used in any presentations before deleting them.

Before Deleting Media

Check these important points before removing files:
  • Usage check: Verify the file isn’t currently used in any presentations or global slides
  • Backup important files: Download and save any files you might need later
  • Team coordination: If working with a team, confirm others don’t need the files
  • Archive option: Consider archiving rather than deleting if you might need files in the future

Bulk Delete

To delete multiple files at once:
  1. Select multiple files: Use checkboxes or Shift+Click to select multiple items
  2. Click delete: Choose the bulk delete option
  3. Review selection: Double-check you’ve selected the correct files
  4. Confirm: Confirm the bulk deletion
Some platforms may move deleted files to a trash or recycle bin temporarily before permanent deletion, giving you a chance to recover accidentally deleted files.

Media Organization Tips

Keep your media library well-organized as your project grows:

Consistent Naming

Use a consistent naming scheme across all files for easier searching and sorting.

Tag Everything

Apply relevant tags to all media files. Learn more about media tags.

Regular Audits

Schedule monthly reviews to remove unused files and update tags.

Version Control

Include version numbers in file names for assets that get updated (e.g., “floor-plan-v2.pdf”).

Media Usage Tracking

Understanding where your media is used:
  • Usage indicators: Many files will show where they’re being used in presentations
  • Find references: Click on a file to see which presentations include it
  • Safe to delete: Files with no usage are safe to remove if no longer needed
Before major presentation updates, review your media library to ensure you have all necessary files and remove any outdated versions.
